Oftentimes this first decision is the most crucial. How do you select the best system for an entire organization? Do you have the manpower, time and experience to make an informed decision? System Selection is critical to the success of the institution from both a financial and clinical perspective. Bringing in an unbiased external leader that can offer a proven, methodical approach to system selection will ensure you understand your requirements, what it is you’re actually paying for and, when all is said and done, can assist you in the Contracting phase. Atlanticon’s System/Vendor Selection solution is tailored to your unique goals. We utilize a team approach that involves your key decision makers and frontline staff working together. We provide the team with critical questions from a wide array of specialties, enabling you to ultimately make the most informed selection possible.
For those of you who are about to initiate an EMR vendor contract, the time to clarify expectations is now. You need the contract to spell out the functional expectations–expectations that your lawyer probably won’t know. Expectations of software delivery, minimum skill level required of vendors, service level agreements, response times and activation support are just a few of the functional elements that you will want outlined in your favor. In addition to the legal review required of all contracts, Atlanticon will help you asses your contract and identify areas where your interests are not covered. Vendor contracts are generally developed to protect the vendor; allow us to see to it that you get the same protection.
Setting up your project is the single most important stage of an EMR implementation. Starting a project without conducting a thorough setup phase is like leaving for vacation with an empty suitcase. Without a doubt, subpar setup will make every subsequent stage of the project more frustrating than it needs to be. Atlanticon has launched hundreds of projects. We know that there are countless ‘right’ ways to prepare and Atlanticon understands that our job is to help you implement the best method for you. We specialize in ensuring that you have the right team structure, communication plan, working paper methods, issue-management system and dozens of other key facets in place so that your Project Manager can move forward with speed and confidence. Don’t settle for a rocky launch. Atlanticon will get your project off to the most efficient and effective start possible. Allow us to equip you with the best practices for Project Setup.
Scoping & Planning
Vendors provide a project scope and plan. The scope is items you’ve purchased; the plan is deliverables the vendor must meet. Hospitals hold the lion’s share of responsibility for Scoping and Planning—relying solely on the vendor’s scope and plan will put YOUR project in THEIR hands–don’t let that happen. Our Scoping process begins with understanding what the new system provides. Next, leaders from every hospital division determine the use of each new feature. Where will you use these services? Where won’t you use them? Evaluating each component and defining expectations is the difference between a vendor’s scope and your scope. Lastly, key personnel sign a thorough Scope Document including an established Scope Change process for added security. Our Planning process begins with the development of YOUR plan that covers tasks and milestones important to you. We include key vendor deliverables from the contract, insert dates, milestones, and dependencies. We work with all facets of your organization to ensure the plan is usable and resources are available to hit your targets. Scoping and Planning are two of the most important tools to keep your project on course - Atlanticon can help you stay behind the wheel!
Design & Build
Designing a system is a vital process. Atlanticon realizes that you can’t successfully execute this task if you don’t understand the system’s capabilities and limitations. We encourage a thorough learning period during which you familiarize yourself with your new system, followed by a detailed workflow analysis that outlines how your departments function in the current state so that you can understand and develop your future state. Atlanticon has experts in every area of an EMR. Those experts can join your team for this crucial phase, sharing their experience and knowledge to help you cut the learning curve. The outcome is a thorough understanding of the design and more confidence in a usable build.
Testing can become complicated when script developers jump into detail too soon. Testing also suffers when there’s no way to assess your success. How do you know that you’ve tested enough? Atlanticon recognizes testing for what it is—a pivotal point in the project during which all your efforts are finally scrutinized in an orchestrated fashion. Atlanticon starts with a Testing Strategy, helping you determine what level of testing is appropriate for your project. We then help you ease into script development by focusing on your test conditions, moving into real-world scenarios and ending with workable scripts. We guide you through test management, script handling, and issue resolution while also monitoring testing effectiveness. Leading an EMR testing phase is a full-time commitment. Ensure your patients get a fully tested system by asking how Atlanticon can assist you in your testing efforts.
When Atlanticon is asked to lead a training effort, we begin with our in-depth training strategy and customize it for every client. Training is no easy task and the effort required to do it right is often underestimated. Our training strategy has been utilized dozens of times over the years and always significantly enhances the outcome. As you approach your training phase, it is best to assign a Training Coordinator who is a veteran of end-user education with exceptional organizational skills. This individual will be responsible for putting together the Training Strategy, leading the curriculum development, overseeing the scheduling, assessing the workspace needs and guiding the trainers. If your in-house team lacks the time or experience to properly lead this phase, sit back and let Atlanticon take the pressure off. We will make your training phase as painless and worry-free as possible.
Activations come after many months of hard work. There’s a lot at stake so your activation should be well planned. With years of experience under our belts, we realize that there will always be hiccups in the road with any activation. Don’t let poor planning and ill preparation cause you to encounter unnecessary setbacks. Atlanticon’s senior consultants have laid the foundation for the way your activations should be planned and executed. We have an extensive process for ensuring that every detail is covered. Timing, Support, Command Center Setup, Issue Management, and Dress Rehearsal are just a few of the headaches Atlanticon can manage for you. Planning for an event like this takes months, not weeks. Call Atlanticon early on in your project process and we’ll outline when your activation planning should begin. See how we can help you orchestrate a smooth launch.
Go Live Support
Supporting a Go Live requires a village–a large village. The vendor, the IT staff, the full project team, trainers, superusers–everyone must come together and function as a well-oiled machine. If you need skilled, high-caliber personnel who can help oversee the entire Go-Live event, whether they’re at the Analyst level or at a more senior level, ask Atlanticon. We have worked on hundreds of Go Live events and know the type of support required during this stressful time–we can make a difference.
